- Contact details
At the top right hand corner of the cover letter you should insert your contact details. These contact details are your name, full address including postcode and a contact telephone number.
- Present Date
After you have written your contact details you must leave a space and then insert the present date. It is suggested that you write the date out fully (e.g. 30th January 2007), this adds to the good presentation of the letter.
- Addressing the letter
Leave a space then move from the right hand side of the paper to the left hand side, you must now address the letter. It is crucial that you address the letter to the person that is recruiting for the position you are applying for. If you do not know the name of the person it is suggested that you phone the company and find out. This emphasizes your attention to detail and also creates a good impression with the person who you are addressing it to.
- First Paragraph of the Letter
At the start of the letter in the first paragraph you must clearly state what job you are applying for, where you found the advertisement and why you are applying for the position. It may be a sound idea to highlight in bold the position that you are applying for and where you found the advertisement. By doing so it allows the reader to efficiently identify what job position you are applying to.
- Second Paragraph of the Letter
This paragraph should state why you think you are the right candidate for the job. Do not just say I feel I am the right candidate for the job, you have to do more than this. A good idea would be to carry out some research into the organization and pick out key areas where they excel in. For example if they excel in customer service use an example where you have excelled in customer service. Do not make this paragraph too long just give a 2-3 quick, short examples.
- Final Paragraph of the Letter
In this paragraph you should briefly state when you are available to start work. It is also vital that you refer to your attached CV/Resume because this is the whole purpose of the cover letter – to introduce the CV. Finally, end the letter in a positive attitude by thanking the employer for considering the application, offer to be contacted for any additional information required and say I look forward to hearing from you.
- Concluding the Letter
If you have addressed the letter to a specific person then you must write Yours Sincerely, if not then Yours faithfully will be sufficient. Then you must make a space for your signature and then print your name underneath this.
